Privacy Policy

How we collect, use, disclose, and protect personal information when you use Axis.

1. Introduction

This Privacy Policy describes how Southern Exits, LLC(“Axis,” “we,” “us,” or “our”) collects, uses, discloses, and protects personal information when you access or use the Axis platform, websites, and related services (collectively, the “Service”). By using the Service, you agree to the practices described in this Policy.

This Policy applies to (a) advisors and other authorized users who register for an Axis account (“Advisors”), and (b) business owners and other individuals invited by an Advisor to complete an assessment or otherwise interact with the Service (“Invitees”).

2. Personal information we collect

We collect the categories of personal information described below.

2.1 Information you provide to us

  • Identifiers and contact details, such as name, email address, telephone number, and the name of your firm or business.
  • Account credentials, including hashed passwords and authentication tokens.
  • Professional information, such as your role, credentials, and areas of practice.
  • Assessment responses and any related notes, documents, or commentary submitted through the Service.
  • Communications you send to us, including support requests and feedback.

2.2 Information we collect automatically

  • Usage data, such as pages and features accessed, session times, and actions taken within the Service.
  • Device and connection data, such as IP address, browser type, operating system, and approximate location derived from IP.
  • Cookies and similar technologies used to maintain sessions, remember preferences, and analyze usage.

2.3 Information from third parties

  • Billing information from our payment processor (we do not receive or store full payment card numbers).
  • Identity verification information where required to comply with legal obligations.

3. How we use personal information

We use personal information for the following purposes:

  • To provide, operate, maintain, and improve the Service, including hosting accounts and storing assessment data.
  • To process payments, manage subscriptions, and send billing-related communications.
  • To send transactional communications, such as account confirmations, invitations, password resets, and notifications related to assessments.
  • To respond to inquiries and provide customer support.
  • To monitor and protect the security and integrity of the Service, including detecting and preventing fraud or abuse.
  • To comply with applicable laws, regulations, legal processes, and enforceable governmental requests.
  • With your consent, or as otherwise disclosed to you at the time the information is collected.

We do not sell personal information, and we do not share personal information with third parties for their own direct-marketing purposes.

4. How we disclose personal information

We disclose personal information only in the limited circumstances described below.

4.1 Service providers

We engage third-party service providers to perform functions on our behalf, including cloud hosting, database services, payment processing, transactional email delivery, error monitoring, and analytics. These providers are contractually obligated to use personal information only as needed to provide their services to us and to maintain appropriate confidentiality and security safeguards.

4.2 Payment processing

Subscription payments are processed by a third-party payment processor. Payment-card details are submitted directly to the processor and are not stored on our servers. Use of the payment processor is subject to its own terms and privacy policy.

4.3 Legal, safety, and compliance

We may disclose personal information when we believe in good faith that disclosure is necessary to: (a) comply with applicable law or legal process, including a subpoena, court order, or governmental request; (b) protect the rights, property, or safety of Southern Exits, LLC, our users, or the public; or (c) enforce our Terms of Service or investigate potential violations.

4.4 Business transactions

If we are involved in a merger, acquisition, financing, reorganization, sale of assets, or insolvency event, personal information may be transferred or disclosed as part of the transaction. We will give you notice if such a transaction materially changes how your personal information is handled.

4.5 With your consent

We may disclose personal information for any other purpose with your consent.

5. Advisor-Invitee relationship

When an Advisor invites an Invitee to complete an assessment through the Service, the Invitee’s responses are visible to that Advisor and are processed by us on the Advisor’s behalf. Advisors are responsible for obtaining any consent required by applicable law before inviting an Invitee to the Service or submitting any personal information about an Invitee. Advisors act as the data controller of Invitee information collected through the Service to the extent permitted by law, and we act as a processor in that capacity.

6. Data retention

We retain personal information for as long as your account is active, as needed to provide the Service, and as necessary to comply with our legal obligations, resolve disputes, and enforce our agreements. After your account is closed, we retain personal information for a reasonable period to permit reactivation and to satisfy legal and business record-keeping requirements, after which we delete or anonymize the information. You may request earlier deletion as described in Section 8.

7. Security

We use administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, disclosure, alteration, and destruction, including encryption of data in transit, access controls, and the security practices of our service providers. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

8. Your rights and choices

Depending on your jurisdiction, you may have the following rights with respect to your personal information, subject to limitations under applicable law:

  • The right to access the personal information we hold about you.
  • The right to correct inaccurate or incomplete personal information.
  • The right to request deletion of your personal information.
  • The right to obtain a portable copy of your personal information.
  • The right to object to or restrict certain processing, including processing for direct marketing.
  • The right to withdraw consent where processing is based on consent.

9. International data transfers

The Service is operated from the United States, and personal information collected through the Service is processed in the United States. If you are accessing the Service from outside the United States, you understand that your information may be transferred to, stored, and processed in a country other than your own, including countries that may not provide the same level of data protection as your jurisdiction.

10. Children

The Service is intended for use by businesses and adult professionals. We do not knowingly collect personal information from individuals under the age of 18. If you believe a child has provided personal information to us, contact us and we will take appropriate steps to delete it.

11. Cookies and tracking

We use cookies and similar technologies to operate the Service, maintain sessions, remember preferences, and analyze usage. Most browsers allow you to control cookies through their settings. Disabling cookies may limit your ability to use certain features of the Service.

12. Changes to this Policy

We may update this Policy from time to time to reflect changes in our practices or for legal, operational, or regulatory reasons. When we make material changes, we will revise the “Last updated” date above and, where appropriate, provide additional notice through the Service or by email. Your continued use of the Service after the updated Policy takes effect constitutes your acceptance.
